Tips for Writing Letters to a Member of Congress and to a Consul General

TIPS:  Writing to a member of Congress or Consul General

Following are some suggestions for writing an effective letter to a member of Congress, or Consul General.

  • State why you are writing in the first paragraph of the letter.  For example,  “I am writing to share some wonderful news about my recent experience as a Fulbright Memorial Fund fellow in Japan.”  The Japan Fulbright Memorial Fund Teacher Program [JFMF] is sponsored the Government of Japan to promote understanding between the United States and Japan.  The JFMF program is administered by the Japan-United States Educational Commission [JUSEC] in Tokyo.  The Institute for International Education [IIE] assists JUSEC by coordinating publicity, recruitment, and preliminary applicant screening in the U.S.  Each year, hundreds of educators from the U.S. are chosen to participate in the program.  Since its initiation in 1997, the JFMF Teacher Program has selected over 6000 educators for the fellowship to Japan."
     
  • NOTE: It is highly recommended that you copy and paste the example [without the quotes], shown above, in explaining the JFMF Program so that the facts are consistent.  After reading numerous letters, we find that a some officials think the JFMF Program is the U.S. Fulbright Program, which is funded by the U.S. State Department. And, it is not the case.
  • Needless to say, be courteous, to the point, and include any key information.
  • Try to keep the letter to one page.
  • Use your own words - - be yourself.
  • If you are sending an email, be sure to include your full name, mailing address, and email address.[1]

[1] My experience is that a hard copy letter is more effective that email; however, if for some reason , you prefer email , then by all means do so.
